AI Adoption

Your business data,
working for you.

We build a structured AI operating layer on top of your existing business systems - ERP, CRM, accounting, and beyond. Connected to live data, configured around your business, and ready to use from day one. Not a chatbot. A system that knows your business.

Talk to us about AI
How it works

Four layers. One system
that knows your business.

The AI operating layer is built in four layers, each designed and maintained by Lux Via. Together they turn your existing business systems into a single intelligence layer that answers questions, runs analyses, and surfaces what matters - against live data, on demand.

Data Layer

A secure, read-only connection to your live business systems via their native APIs - ERP, CRM, accounting platform, or any other tool where your operational data lives. Every question the system answers is grounded in real, current data - not exports, not cached snapshots. Write access can be added selectively once the read-only layer is trusted.

Business Context Layer

A structured knowledge base built around your operations - one file per area, covering terminology, workflows, KPIs, and team structure. Alongside it: a local knowledge vault for SOPs and reference documents, and memory files so context persists and accumulates across sessions. This is the layer that makes the system feel specific to your business.

Skills & Commands

Named, reusable instruction sets that encode your recurring analyses. Each skill is triggered by a single command and produces a consistent, formatted output every time - pipeline review, aged debtors, stock-on-hand, open orders, meeting prep. No re-explaining. No setup. One word.

Role-Based Agents

Named agents scoped to your business structure - a CFO agent that reviews financials, a sales agent that tracks pipeline and team performance, an operations agent that monitors production and stock. Each has a defined mandate and operating cadence. Open the agent, get a structured briefing, close with actions.

The offering

Four tiers.
One continuous journey.

From initial deployment through to long-term capability building - each tier maps to where you are in your AI journey.

Phase 1

Foundation Setup

Everything needed to get all four layers live and useful from day one: live connection to your business systems, business context built from a scoping intake, 6-10 named skills tested against your data, up to 2 role-based agents, and a half-day training workshop with your leadership team. Phase 2 kicks off with adoption support.

Phase 2

Active Adoption

The weeks immediately after Foundation Setup are where adoption is won or lost. People are curious but not yet confident, and without structured support most default back to familiar tools. In this phase we collaborate with you in working sessions on real tasks, guided practice that builds everyday confidence, and direct support as new workflows become habit.

Phase 3

Ongoing Programme

A monthly retainer that keeps all four layers current as your business changes: context refresh, new skills as new analytical needs emerge, agent evolution, a monthly power session, and priority support. This is an active programme that pushes capability forward.

CustomAdd-on

Enhanced Access

Extends the data layer to allow the agent to take selective actions in your systems on your behalf - creating CRM activities, logging notes, drafting orders or invoices for human review, updating task status. Write access is always scoped tightly. The agent drafts; you confirm.

The adoption challenge

The technology is the easy part.

A well-configured system that nobody uses is not a working system. In our experience, the gap between a successful AI deployment and an abandoned one has almost nothing to do with the quality of the build. It has everything to do with whether the team builds genuine familiarity with the new way of working - or quietly reverts to what they already know.

Familiarity comes from guided repetition.

You cannot train someone into a new workflow in a single session. Critical familiarity - the kind that makes a new tool feel instinctive rather than effortful - comes from repeated use alongside someone who can guide it. That is what the Ongoing Programme provides: not just a system that stays current, but active, hands-on support until the new way of working becomes the default.

Why it matters

What executives actually
get back.

Every benefit below is demonstrable in the training session against your own live business data.

2-3 Hours Recovered Per Week

The average MD or FD spends meaningful time each week chasing information - asking the accountant for a debtor age, digging through system screens for stock levels. The system eliminates the chasing.

Faster Debtor Management

Surface overdue invoices, flag clients who haven't been contacted recently, and draft follow-up emails from live invoice data. A 5% improvement in DSO on a R5M debtor book is worth R250,000 in cash flow.

Better-Prepared Meetings

Before any client meeting, ask the agent to brief you: open opportunities, outstanding invoices, recent activity, last conversation notes - pulled from your systems in seconds. No prep time. No missed context.

Proactive Exception Reporting

"What needs my attention today?" surfaces overdue payments, stalled opportunities, low stock on fast-moving items, and tasks that have missed their deadline. A shift from reactive to proactive management.

We run this architecture on our own business systems at Lux Via. Every workflow you see us demonstrate, we have built and tested ourselves first. When we set it up for you, we are not experimenting - we are replicating something we use every day.
